Start with the process, not the feature list

Custom software fails when the brief is a shopping list. It works when the brief is how the work happens today.
Buyers are trained to ask for features: portals, dashboards, integrations, AI. Vendors are trained to sell them.
The useful conversation is narrower:
- Who does this work today?
- What tools do they already open?
- Where does it break, delay or get re-keyed?
- What would "good enough" look like in 90 days?
That framing keeps scope small. It also makes it honest when a cheaper tool or a process change is enough - and when custom software is justified.
